Receptionist / Customer Service Representative

MFM Building Products is a growing manufacturer of roofing and waterproofing membranes located in Coshocton, Ohio. We are looking to fill an immediate opening in our office for a Receptionist / Customer Service Representative. The primary duty of this position is Receptionist. The position will also serve as a backup in our Customer Service Department. Hours are 8:00 am to 5:00 pm, Monday through Friday, in our Corporate Office – no weekends or travel required.

Primary Responsibilities

  • Serve as front desk receptionist, including greeting visitors, answering and routing incoming calls, handling incoming and outgoing mail, and maintaining a tidy and professional reception area

  • Accurate filing of documents, ordering office supplies, emailing / mailing customer invoices, proofing customer orders, and daily shredding of confidential documents

  • Coordinate customer mailings, including address mail merge, and delivery to post office

  • Handle window sales of 2nds materials to the public, including order entry, and processing payments via cash, check or credit card

  • Schedule appointments and meetings as requested and assist other departments with administrative support as needed

Secondary Responsibilities

  • Serve as a backup to the Customer Service Department during vacations and time off, learning about MFM products, and all aspects of Customer Service

  • Develop and maintain an effective and positive business relationship with customers, potential customers, MFM sales representatives, and outside vendors

  • Receive and process customer orders via phone, email and fax, as well as matters pertaining to freight, returns, price quotations and other customer service matters

  • Prepare and handle all appropriate documents and correspondence from customers, including debits, credits, pricing, complaints, returns, etc.

 Qualifications

  • Minimum three years’ work experience in an office setting or customer-focused position (sales, customer service, logistics, scheduling, inventory control, etc.)

  • Must be willing to answer incoming phone calls in a pleasant, professional manner

  • Proficient in all Microsoft office products including Word and Excel, as well as learning our in-house order entry system

  • Ability to handle multiple tasks with exceptional organization skills in a fast-paced office environment

  • Exceptional phone and written skills to relay information in a concise, professional manner

  • Must possess analytical abilities, detailed record keeping, accuracy and ability to follow through with customer needs

  • Ability to work with all levels of the company and communicate with diverse groups

  • Must possess the technical ability to understand our product line and product applications
